How Peoplesafe affects your staff's H&S responsibilities.

Who is responsible for Peoplesafe?

People across your organisation will have various responsibilities, depending on their role with Peoplesafe. These roles and responsibilities should be clearly listed in your policies with clear consequences for failing to uphold them.

Admin

Implement and maintain

Deliver and maintain personal safety equipment to ensure it is effective in protecting staff. Admins make critical decisions on other's access, permissions and responsibilities.

Manager

Keep their people safe

Managers have the responsibility of ensuring policies are followed and personal safety equipment is available and used correctly.

User

Use personal safety technology daily

Employees need to take reasonable care of their own personal safety, including not putting themselves into a situation which could compromise their safety.

Escalation

Answer calls and help keep colleagues safe

Escalation contacts must answer calls from the Alarm Receiving Centre and prioritise helping users during potential incidents.

Admin responsibilities

As a company you must allocate admin(s) to be responsible for:

#1 Reviewing Policies (at least annually)

#2 Onboarding Nexus

#3 Communicating changes internally

#4 Implementing Peoplesafe products & training

#5 Maintaining Nexus

#6 Monitoring use of Peoplesafe

Maintain Nexus by keeping information like phone numbers up to date, adding & training new starters and removing leavers.

Monitor Usage by reporting on all people and teams to make sure that personal safety technology is being used to protect employees at work. Identify any teams or people who need to improve and address this.

Managers

Duty of Care
Managers have a duty of care to their employees to ensure they are wearing PPE like Peoplesafe apps/devices. They can be prosecuted in court if their employee has an incident and wasn't wearing protection.

Complete & Monitor Training
Managers should be educated on their own duty of care, how to use Nexus, how their team's training is going and how they should be using Peoplesafe.

Report on Use
Managers must know who is using PPE and address this with their team members. If non-compliance continues, they must flag this internally.

Update Information
Managers should be made responsible for keeping vital information such as phone numbers for their team, up to date in Nexus.

Users

Personal safety equipment can only help if it is used.

#1 Complete training
Your company is required to provide training; your employees are responsible for completing it and Managers should monitor its completion.

#2 Keep it charged & switched on. Keep it with them
If their device or phone is not switched on and accessible during the working day, they are not correctly using PPE.

#3 Use the device/app daily
Specify exactly how you expect the device/app to be used. For example, if they are expected to create timed activities for every appointment or just high risk ones.

#4 Keep themselves safe
Employees need to take reasonable care of their own personal safety, including not putting themselves in a situation which could compromise their safety.

#5 Raise Alarms & report incidents or safety concerns
Employees are responsible for reporting any concerns for their safety, any incidents that happen and raising an alarm should an incident take place.

#6 Test equipment (at least quarterly)
Employees must test the device/app when they first receive it and at least every 3 months.

#7 Report faults to Peoplesafe Customer Support
Employees are responsible for reporting any concerns over the function of their device/app to Peoplesafe Customer Support for repair or replacement.

Complete Training
Understand who they are responsible for and what is required of them. Learning how the alarm process works and how they can help to provide potentially life saving support to their colleagues.

#2

Respond
Save the ARC telephone number in their phone and answer these potentially life saving calls. They must make supporting the alarm a priority above all else.
